Job Description
Role Title: Purchase Ledger Officer

Hours: 35 hours per week, Monday-Friday

Salary: £26,876-£33,596 per annum (salary offered dependent on experience)

Contract: Permanent

Location: Dartford / Agile

You will process supplier invoices, credit notes and payments, and ensure that the information held in our supplier accounts is current, complete and accurate. You will maintain appropriate controls and provide a first-class service to suppliers and internal customers.

We support agile working, so you’ll be provided all IT equipment to work flexibly between your home and at our Dartford office. You will be working in a friendly but hard-working team of 4 (3 officers and a team leader), within the wider Finance & Corporate Services directorate.

You will be:

  • Spending most of your time registering invoices in the Proactis P2P system, matching them to orders within the system and raising queries to colleagues if more information is needed to enable a successful match. We process in excess of 20,000 invoices a year, so this is a high-volume environment.
  • Managing communication with suppliers via our shared Purchase Ledger email inbox.
  • Preparing and submitting payment runs using the SunSystems accounting system, and ad-hoc payments using Bankline.
  • Reconciling our supplier accounts to the suppliers’ statements and liaising with the suppliers to put right any differences.

    We are on the lookout for someone who has:

  • Numeracy and literacy: We need you to understand numbers and be able to communicate well in writing.
  • Accounting experience: You should know the difference between a debit and a credit, and between an invoice, a credit note, and a statement. You should have extensive experience of matching invoices to purchase orders, preferably in an electronic system.
  • Computer skills: Working in a Microsoft Windows environment should be second nature to you, including competency in MS Excel and MS Word, and the management of files using File Explorer. If you have experience of Proactis P2P and/or SunSystems this will be a distinct advantage.
  • Attention to detail: The success of our purchase ledger function depends on you getting things right first time.
  • Reconciliation skills: You need to resolve and reconcile issues with limited supervision by methodically identifying sources of errors, making retrospective corrections, and ensuring that appropriate changes are put in place to prevent reoccurrence.
